The BWA is seeking to recruit a suitably qualified, experienced, multi-disciplined, focused and energetic individual for the post of Administrative Officer for the Chief Operations Officer’s office.

 

The Administrative Officer will report to the Chief Operations Officer.

 

DUTIES AND RESPONSIBILITIES

  • Perform general administrative duties in support of the Chief Operations Officer, inclusive of preparation of draft responses to correspondence, draft reports and papers for submission to the Board of Directors;

 

  • Preparation of speeches, articles, briefs and any other documents that may be required by the Chief Operations Officer;

 

  • Assist with the preparation and submission of monthly reports and action plans to the Chief Operations Officer for the proper functioning of the Chief Operations Officer’s Office;

 

  • Assist with the formulation, development and recommendation for approval of the relevant administrative policies, systems and operating procedures and programmes to assist the BWA in carrying out its mandate in an efficient and effective manner;

 

  • Assist with the development, tracking and feedback regarding the implementation of the strategic plan for the Management of BWA;

 

  • Assist with the coordination and development of the project initiatives of the Chief Operations Officer;

 

  • Schedule and coordinate meetings, appointments and events on behalf of the Chief Operations Officer;

 

  • Attend meetings, record and prepare minutes of meetings, as assigned;

 

  • Liaise with the Management Team in the preparation and submission of monthly and other reports;

 

  • Conduct research and provide analysis of data in preparation of reports and papers;

 

  • Maintain electronic and hard copy filing system in the Chief Operations Officer;

 

  • Assist in resolving administrative problems;

 

  • Assist with the supervision of support staff assigned to the Chief Operations Officer’s office as required;

 

  • Maintain excellent customer relations with both internal and external contacts;

 

  • Any other related duties as assigned by the Chief Operations Officer from time to time.

 

QUALIFICATIONS AND EXPERIENCE

Prospective candidates should have a minimum of the following qualifications:

 

  • A degree in Management or a related discipline and two years relevant experience;

Or

  • ASc in Administrative Professional Office Management (ASc APOM) or any other relevant professional qualification from a recognized institution and five (5) years relevant experience.

  • Competence in the use of Microsoft Office products, particularly Work, Excel, Visio and Power Point;
  • Effective decision-making skills;
  • Must maintain strict confidentiality in the execution of duties.
